4 tips for your next conference
We have just received the survey results from a global conference that we ran last year. In reviewing all the comments, we decided that it might be a good idea to lift out a few bits of feedback, things that worked well and that set any event up for success. Often it is the small details that make for smooth and seamless experiences. We are sharing four with you here.
1. Make sure that function venues and the conference centre are located close to each other. It can be tempting to choose a really special venue for a function, but factor in the time that it will take to get your delegates to the venue. Cape Town offers a selection of unique venues for example, but the early evening Cape Town traffic could mean your VIPs are stuck on shuttles for up to an hour and a half. If needs be, make the trip on a day when you can really assess the actual travel time required.
2. Have a code of conduct for onsite staff, train them well and provide them with beautiful uniforms to wear. This helps delegates find the right people with the right information to hand. Our scarves were so popular that we kept getting asked to part with them!
3. Send the conference logo to approved taxi companies so that delegates arriving at airports can identify known service providers and make safer transport choices.
4. Factor in uniquely South African elements for global delegates. This can be in the form of food, entertainment or themed events. The eventing, travel and tourism industry is a significant source of income for our country. Here is one piece of feedback we received:
